Transaction Coordination Services

I am a licensed Realtor providing transaction management services for Realtors with ERA Brokers Consolidated in Utah.  I have been working as both a Realtor and Coordinator for 5 years. I have worked with over 20 Realtors and hundreds of transactions.  I'm always available for new files.

1. All Contracts currently completed, I will assume the standard forms not included will need to be completed.

4. Current status of the transaction, i.e. shopping, making offers, just accepted, under contract past due diligence, etc...

5. Have you started ARTI or MLS?

 

Unavailable services: writing offers, property descriptions, sign installation, and lockbox install.  These items can be done with a separate agreement, offers must be done as a co-agent.

 

Availability: I'm available M-F 9-5 for transaction services.  If it's an emergency on a night or weekend, it is not within the transaction coordinator's services. There are at times as a courtesy weekend service can be done but will take longer than usual, such as MLS updates, New contract-send welcome emails, and updating the title lender next business day.

All of services include

ARTI File Management

I will create and manage ARTI.  This includes uploading documents in an organized manner, uploading images when applicable, data entry, and status updates.

Record Keeping

We are required to keep the last 3 years worth of files for every offer sent out and every offer received regardless if the offer was accepted or rejected.  If you CC me on your offer emails, I will know to file it in ARTI in an organized manner until you get an offer accepted.  This is for both Listings and Purchases.

MLS Data Entry

Realtors who hang their license at our Utah County office can have the extra benefit of having their listings put into the MLS on their behalf.  I can prepare a listing input for Sellers to review, put in photos, update status, upload documents, and publish.

Seller and Buyer Home Warranties

Ready to list and need a seller's warranty?  Buyer just purchased and they need to select a home warranty?  I send information to help your clients make an informed decision on which home warranty they want to purchase.

Home Inspection

Due Diligence can be quick or longer depending on the needs of both Seller and Buyer.  I have emails prepared with a list of highly recommended inspectors I send to clients for them to make an informed decision on who to hire.

Listing or Buyer Broker Agreements

Do you have a Buyer or Seller ready to sign but need contracts?  I'm able to prepare your listing agreement and buyer broker agreements and DocuSign for your clients.  These agreements will usually be in a listing or buyer packet with the other required documentation.  I provide a detailed email describing the forms.

Earnest Money

Yay! You're under contract, now we get moving with earnest money.  This is due to the brokerage within 4 calendar days after acceptance, regardless if it's a birthday, cruise, Thanksgiving or Christmas.  If you need more time, please put it in an addendum. I give instructions to clients to have a check delivered in person, in the mail, or via wire ($50 fee).

Open Title

I LOVE my title people.  I work with a few on a regular basis and can suggest the greatest Escrow Officers if your client needs help deciding. I request preliminary reports, update title when we go into escrow, keep informed of addenda, and receipts.

Lender Communication

Communicating with the Lender (and Title) are key factors in keeping a smooth transaction.  I always make sure they have the updated addenda as soon as I have it.  If it's filed in ARTI, the Lender has received it.

New Construction

New Construction Files are handled the same as a regular Buyer transaction.  Yes there are different steps and meetings the builder usually schedules.  I handle ARTI and document compliance.  Buyers are sent information on home inspections.

File Compliance

I'm the last set of eyes to look at most documents and intend to be thorough.  Is every initial present? Are expiration dates correct? Did every signer actually sign and initial in each location? I collect the documents and review them for accuracy.  If needed, I contact the client to grab the missing few.

Weekly Bulletin

Receive a weekly bulletin with updates, questions, or concerns with any coming soon, active, under contract, or recently closed files.

Listing Marketing

When listing a home a few steps on the admin end are helpful.  I keep in communication with the office to get you a valid text rider if you need it.  I proof the ARTI brochure and send for print for you to pick up with the text rider.  Once published, I share your listing on Facebook-ERA pages.

Showing Time

Notice this is a recent change.  I can help set up showing time if Realtor adds me to the listing in showing time.  This will allow me to access and update the listing with more security.

Payment

Fees are collected through ERA Brokers Consolidated at the same time your commission check is processed.  To help with my fees, agents have opted to increase their Regulatory Compliance Fee how they see fit.

Cancelled Contracts

We have all been here before.  Take a deep breath and let it out.  I only get paid when you get paid.  We dust ourselves off and go again. I have had agents asking if they can pay me to offset some guilt, and the answer is, if you really want to, you can add a bonus to another transaction, but it is not expected.
